Exhibitor FAQ's

When is pack-in?

Exhibition Stands will be built by the official exhibitor contractor (Peek Exhibition) on Wednesday 28 October from 7.00am.

Exhibitor pack in must be undertaken between 1.00pm - 5.00pm on Wednesday 28 October 2026. You will be required to complete a Health & Safety induction online form prior to coming onsite. You must wear a Hi-Vis vest in the Exhibition area. For further details, please refer to the Exhibition Manual linked above.

When is pack-out?

Exhibition pack out is from 1.30pm on Friday 30 October 2026 following the lunch. The exhibition contractors will move in at 3.00pm on Friday 30 October 2026. All display material must be removed from the venue by 5.00pm on Friday 30 October 2026.

What comes with my exhibition stand?

All booths come with 2 x 150 watt spotlights and 1 x 10 amp power point with 4 way multi box. If you require furniture, AV, additional signage or additional lighting/power this can be organised at your cost. Details on who to contact are in the the exhibition manual available above.

Do all of my staff need to register for the conference?

YES - ALL company representatives at your booth must be registered as a conference exhibition delegate. Registration badges cannot be shared, every representative must have their own badge.We will maintain a list of the delegates passes issued to each exhibiting company.

I have different people coming each day. Can they “swap” name badges and share a pass?

NO - sorry but it isn't possible for you to ''swap out passes'' between staff members.

  • In order for our conference app to work effectively, we need EVERY person who enters the building to have their own unique pass. Plus, Health & Safety requirements make it essential that we can run accurate reports on who entered the venue.
Can I bring candy/treats to give away at my booth?

If you wish to giveaway any food or beverage items then we must seek venue permission first. It's not usually difficult to get their permission. Please notify the conference coordinator at conference@fp2.co.nz

Can I see where my exhibition stand is located on the floor plan?

To locate your allocated booth number, check the exhibitors list detailed in the Exhibition Manual or labove.

Can I view the delegate list?

For privacy reasons, this is not possible. But two weeks prior to the conference we release the conference app to delegates. The list of delegates then becomes visible via the app. You can view name, job title, organisation with the conference app for each delegate. Sponsors may be entitled to special privileges regarding the delegate list and will distributed when appropriate.

Can I put something in the delegate bags?

NO. Sorry from a sustainability point of view, we have stopped the delegate bag insert option. You are welcome to distribute items via your stand understanding that delegates may not be carrying a bag.
